IVC Event Reservations
Use of the Interactive Video Classrooms (IVC) are provided to assist college departments, staff, student groups, and external organizations in hosting events. Whether the event is sponsored by a college department, staff, a student group, or an external organization, Video Support Services staff will work to ensure that all clients and guests have a quality experience while maximizing the use of the facility. On this page you will find information regarding information regarding: IVC Facilities Availability Although credit courses have a priority for campus-based IVC room usage, the facilities are available for other types events when not in use. For more information on how campus-based IVC rooms schedules are prioritized, click here. Due to it's central location, larger size, and ground floor access, the Highland Business Center IVC, located at 5930 Middle Fiskville Road, room 103.6 is dedicated for use during business hours and limited evening hours for conferences, meetings, and other events. The Highland Business Center IVC is the sole location available for use by external organizations and may have the best availability for internal events as well. To check IVC availability for your upcoming event, consult the scheduling calendar for each room. Note: An open time slot on the calendar is a very good indication of availability but it is not a guarantee.
ACC Internal IVC Reservation Information Reserving an IVC at a campus: If you are a part of the Austin Community College system (department, faculty, staff, or student group) and wish to schedule an event at a campus-based IVC room, you may do that by completing and submitting an Online IVC Room Request Form or by contacting Michelle Cruz, Interative Video Classroom Services Specialist, at 512.223.8077. Reserving the Highland Business Center IVC 103.6: If you are a part of the ACC system (department, faculty, staff, or student group) and wish to schedule an event at the Highland Business Center IVC, you may do that by completing and submitting and Online IVC Room Request Form or by contacting Rachel Lanham, at 512.223.7791. Note: There are no charges associated with reserving an IVC for internal ACC events. For most events not requiring additional services, reservation requests can be acccomodated on a first-come-first-served basis pending room availability and with 24 hours notice in advance of the event date. Reservation requests for technical events requiring in-room assistance or training must be received at least 10 business days in advance of the event date. External Organization IVC Reservation & Rental Information Located in central Austin but removed from the hassles of downtown, the ACC Highland Business Center Interactive Video Classroom offers excellent conferencing facilities for external organizations. Convenient and affordable, ACC's Highland Business Center IVC is a great alternative to expensive hotels and meeting halls. All technical equipment and in-room support is included with reservation. The Highland Business Center can seat up to 45 people comfortably at tables and chairs, with ground-floor accessibility. The room is ideal for video conferences, satellite teleconferences, webinars, training, workshops, etc. A trained A/V technician will set up, make necessary connections, and remain on-site for the duration of the conference. If you are an external organization wishing to reserve the Highland Business Center IVC facility, please fill out and return the External Organization IVC Reservation form, or contact Rachel Lanham, at 512.223.7791. The organization will be billed after the event. Fee Schedule Services that come standard with an external reservation are: coffee and water service, a trained on-site technician, full access to the Video Help Desk, use of all technological equipment in the room, including: touch panel controlled Polycom AMX VSX 8000 video and audio conferencing system, analog satellite signal downlink capability, PA system, two large screens for viewing from ceiling-mounted projectors, document presenter, Dell PC with full MS Office Suite, electronic whiteboard, desk microphones for attendees, designated fax line, and high speed Internet. Food service is permitted and can be coordinated by the requesting organization or by ACC.
*Daily Rate applies to hours between 7 a.m. and 5:00 p.m. There may be additional costs associated with events that are held into the evening hours. Due to limitations of staff and facilities, VSS must be contacted at the earliest possible date to confirm availability of an IVC room and technical compatibility.
