Using Polycom's
Roll About Unit

Introduction

The purpose of this web page is to provide an overview and guide on how to operate the Polycom Viewstation equipment. It contains step by step instructions on the use of the Viewstation equipment.

Roll About (Viewstation) Units are smaller systems which are generally used as receive only sites. However, occasionally some of the Roll About IVC rooms are used as origination sites.

The monitors used in the Viewstation rooms consist of two, front 36" monitior and one rear monitor. The front monitors are positioned side by side, the rear monitor is a stand alone monitor. When a connection to the remote site has been made, the rear monitor displays the remote site. The front monitors display both the local and remote site locations.

There is a Polycom Omni-Directional microphone used to send the audio from the instructor and the students to the remote site. The instructor can mute the room's audio by pressing the button on top of the microphone. When the room volume has been muted the top button turns red.

There is an instructor camera and a student camera in the room. The instructor camera is located in the back of the room and is pointed at the instructor. It sits on top of the rear monitor. The student camera is positioned in the front of the room on top of one of the two front display monitors. The Student camera is labeled #1 (students are #1 at ACC) on the front monitor display panel. You can access this panel by using the remote control device. The other room camera is routed through the document camera. This camera can be switched to all the various cameras the instructor needs to deliver a lesson (instructor camera, , PC).

Most of the room equipment is controlled by a Polycom Remote Control Device. The Remote Control Device can also be used to connect to the remote site. All room IP connections, however, are made by the Video Services Help desk.

The Dell PC enables the instructor to work with and display Powerpoint, Word, Excel and other documents. The computer also has access to the internet via a high speed connection. The instructor can display on-line course materials or course-related web sites. The instructor can also bring files into the IVC on CD ROM, Zip disk or floppy disk.

The is an overhead projector with a camera. The projects documents, and transparencies to the Local and Remote sites. The camera on top of the can be turned to display the contents of a flipchart, or a 3-D visual display. The 's Input Panel switches the IVC cameras. This switch controls the cameras associated with the instructor camera: camera, instructor camera and desktop computer display.

The Viewstation rooms have a VHS/DVD player located in the cabinet below the instructor's console. An instructor can also play CD's or DVDs from the Dell computer.



Getting Started

The Help Desk or facilitator will make the IP connection between the Local and Remote sites. Both the Local and Remote sites should be displayed on the two front monitors.

 

Make sure the document camera is on. (ON/OFF switch is located either along the left side or on the top right of the document camera

 

 

 

 

 

 

 

 

 

 

 

Turn on the Upper or Base Lamp. The Upper lamp provides illumination when working with opaque (non see-through) documents and the Base lamp provides illumination for transparencies.

 

The PC will generally be on when you enter the IVC room. If it is not, turn the computer ON.

 

 

Select the appropriate room camera. There are 2 ways to select the room's camera display:

  1. Press the NEAR button on the Polycom Remote Control Device (PRCD), to display the Student Camera. Three options will appear at the bottom of the front monitor screen:
    • Video Camera icon = Student Camera
    • Overhead icon = display
    • VCR icon = VHS/DVD display
  2. Press the Internal, AV1 or AV2 buttons on the . (see Polycom Remote Control Device section and section). All the inputs into the are routed through the second room camera (other than the Viewstation --Student Camera #1 inputs). The cameras switched through the are all the cameras the instructor needs to display the course content. Internal, AV1 and AV 2 are located within the 's INPUT section:
    • Internal Switch = Doc. Camera
    • AV1 Switch = Instructor Camera
    • AV2 Switch = Desktop Computer

Monitors

The two front 36" Viewstation IVC monitors are side by side and display the local (near) and remote (far) sites. They sit on a console that contains the IVC room's multimedia equipment and audio amplifiers. The Viewstaion (student) camera is mounted above one of the front monitors.

The Viewstations also have a monitor in the back of the room. The rear monitor displays the images from the remote site so the instructor can quickly see the remote site students. The instructor camera is mounted on top of the rear monitor.

The Roll About (Viewstation) rooms use Polycom Viewstation Cameras.

The Viewstation camera in the front of the room functions as the student camera (camera #1). The two monitors at the front of the room display the Local (near) site and the remote (far) sites.

The Viewstation system is controlled by the Polycom Remote Control device.

 

The camera selection menu will be displayed on the Viewstation Monitor. This screen menu controls the following cameras:

    • #1 = Student Camera
    • #2 =
    • #3 = VCR/DVD

 

 

 

 

 

Use the direction arrows to select Camera 1 (Student Camera) from the screen menu.

Once you have chosen the student camera, you can also use the directional arrows on the remote control device to manually position the student camera.

 

 

Press the "Center" (white dot) button of the directional arrow remote control section to select the highlighted camera option from the display screen.

Instructor Camera 

The Instructor camera controls are programmed or "switched" through the . Switching to the Instructor Camera requires selecting the AV1 option on the .

    • Select the Internal button on the to switch the control of display documents to the Document Camera.
    • Select the AV1 button for the Instructor Camera.

Document Camera

The is used as an overhead projector. To display the Document Camera in a Roll About IVC Room, select one of the following options:

    • Internal button from the Input panel on the document camera

     

     

    • #2 icon from the Viewstation front monitor menu using the Polycom Remote Control Device

Desktop Computer

The Desktop computer in the Viewstation IVC rooms enable the instructor to display Word, Powerpoint, and Excel documents. Multimedia files can also be viewed. The IVC PCs have high speed internet access so the instructor can display web sites and on-line course materials.

Polycom Remote Control Device

The Polycom Remote Control Device is the main equipment controller in a Viewstation IVC room.

 

 

 

The Near button displays the camera selection screen. Instructors select the Near button on the Remote Control device to display the following Near Site Camera outputs:

    • #1 Student Camera
    • #2 Document Camera
    • #3 VCR/DVD

The Polycom remote essentially performs like a camera switcher. An instructor uses the Remote Control's Near button and the directional arrows to change what the output camera displays.

If the Near button doesn't display the camera selection screen, press the Near button followed by the right directional arrow.

VHS and DVD Player

To play a DVD or VHS tape, do the following:

  • Locate the Polycom Remote.
  • Turn ON the VHS/DVD player manually or by using the remote control device.
  • Insert media (DVD or VHS tape).
  • Point the remote control device at the front monitors.
  • Select the "Near" icon on the Polycom Remote Control Device or Select the "Menu" icon on the remote control.
  • The Polycom Input Device Selection Screen will be displayed on the front Viewstation Monitor.
  • Use the Right directional arrow and select Camera Number Three (the VCR icon).

 

 

Note: Make sure there is media in the player before selecting it.

 

 

 

 

Record VCR

The Record VCR is in FBG 6B. The Record VCR enables an instructor to record class sessions. Insert a tape in the recorder and press record. If you want to review what you have recorded, you need to play the tape in the Samsung VHS/DVD Player Deck NOT from the Record deck.

Video Services Help Desk

A connection between the near and far sites will already be made before class begins. If it has not been made or if a question arises, contact the facilitator or the Video Services Help Desk.

If the facilitator or the Help Desk can't answer a question or solve a particular problem, the Media Center Personnel at the campus where the course is offered will be contacted to address the issue. The Video Services Help Desk will contact the Media Center Personnel.

At the beginning of the semester, a facilitator will be assigned to your class. This facilitator will help you with the delivery of content and with technical issues.
